What you can import
Any proposal you have as a Word document (.docx) or a PDF, up to 20 MB, one file at a time. For a Google Doc, download it as .docx first. PowerPoint and Google Slides files can't be imported.
Importing works on every plan, including Free. Veew uses AI to read the file, so an import counts toward your workspace's daily AI fair-use limit like any other draft.
Import as a document
- 1Go to Documents, choose Create new, then Proposal.
- 2At the bottom of the page, next to "Already have this proposal as a Word or PDF file?", choose Import it. (Import isn't offered when you start from a deal's + New menu.)
- 3Drop the file on the box, or use Choose a file. Veew uploads the file, reads it and lays it out as sections, which takes about half a minute.
- 4The editor opens on the result. The prospect's company and contact are filled in from the file, and the document is filed under the deal for that company, or under a new deal if there isn't one.
Import as a template
- 1Go to Templates and choose Import.
- 2Give it a Name, or leave it blank to use the document's own title.
- 3Drop the file, or use Choose a file. You land in the template editor.
- Wherever the file names the prospect, the template uses a variable instead: {{company.name}} for their company, {{contact.first_name}} and {{contact.last_name}} for the person, plus {{contact.title}} and {{contact.email}}. Your own company becomes {{sender.company}}, and the rep's name becomes {{sender.name}}.
- Prospect details that can't be a variable, such as a date or a remark about their situation, become a short placeholder in square brackets for you to fill in, for example [Proposal date].
- Prices and the pricing structure stay as they are, because they are your catalog.
- Owners and admins get a workspace template. A member's import is saved as their own draft until an admin publishes it to the workspace.
What comes across
- Your words, as written. The import copies your text and splits it into sections; it doesn't rewrite it. Veew picks a section type for each part (cover, summary, pricing, timeline, case study, team, terms, FAQ and so on), and anything that fits none comes in as a text section, so nothing is left out.
- Numbers exactly as the file states them. Prices become a pricing table with quantity, unit price, and whether each line is one-time, monthly or annual. Nothing is rounded, converted or totaled for you.
- From Word: headings, paragraphs, lists, tables, and PNG, JPEG, GIF and WebP pictures in the place they sat. Bold, fonts and margins are not kept. A picture that can't be carried over is listed in the import notes, so you can add it from the editor.
- From PDF: the text, tables and prices. Pictures in a PDF are not carried over.
- An imported document takes your default brand kit's colors and type.
Check it before you send it
A bar across the top of the editor says which file the document came from and reminds you to check pricing and dates. If Veew was unsure about something, such as a merged table cell, an assumed currency or a total that doesn't add up, it's listed under the notes link in that bar.
Every imported section is marked for review. Read each one, edit what needs it, and choose Looks good on the section's bar to clear the mark.
If an import fails
- "Choose a Word document (.docx) or a PDF": the file is a different type. Save it as .docx or PDF and try again.
- "File is too large": the limit is 20 MB.
- "This file is too long to import in one go": try a shorter document, or split it.
- "Your workspace has reached today's AI fair-use limit": the limit resets over the next 24 hours.
PowerPoint export
Import only takes Word and PDF, but on Team a sales deck can be downloaded as an editable PowerPoint file. Once the deck is live, choose PowerPoint in the editor's top bar. The file is the published version of the deck. On Free and Starter the button is still there and tells you which plan includes it.
