A plan to help Northwind Logistics move faster
Prepared exclusively for Northwind Logistics by Northstar Software.
Executive summary
Northwind Logistics is at a point where the current way of working is starting to cost more than it saves: in time, in missed opportunities, and in the effort it takes to keep everything moving.
This proposal outlines how Northstar Software will help your team get there faster: a focused rollout, measurable outcomes in the first 90 days, and pricing that scales with the value you see.
Where Northwind Logistics is today
From our conversations, three things stood out.
Too much manual work
Your team spends hours each week on tasks that should be automatic. That time could go toward growth.
Fragmented tools
Information lives in several places, so decisions take longer and context gets lost between teams.
Hard to see what's working
Without a clear view of results, it's difficult to double down on what drives outcomes.
How Northstar Software will help
A single platform for the work, tuned to how Northwind Logistics operates.
Automate the routine
Replace repetitive steps with workflows that run themselves, so your team focuses on judgment calls.
One source of truth
Bring your data and processes together, with the integrations your team already relies on.
Clear, live visibility
Dashboards that answer the questions leadership actually asks, without a weekly reporting scramble.
Support that scales with you
Onboarding, training, and a named success partner from day one.
What it looks like day one
Built for the way your team already works
Dispatchers open one board with every load, carrier, and exception in view. Status updates and the weekly report build themselves from the systems Northwind Logistics already runs, so the first week feels like less work, not a new tool to learn.
Where the time goes
Today, and after the rollout we're proposing.
From the discovery call: hours a week Northwind Logistics's operations team spends assembling the weekly dispatch report by hand.
Proof it works
Four regional sites, four versions of the Monday report, and a leadership team deciding on three-week-old numbers.
Connected their TMS and ERP, automated the weekly report, and rolled out live dashboards site by site over eight weeks.
“We stopped rebuilding the Monday report by hand inside the first month. Site managers now walk into the weekly call already knowing the numbers.”

Faster claims and fewer handoffs for Fieldstone Insurance
How Beacon Analytics gets your team there: the plan, the proof, and one simple price.
Dear Fieldstone Insurance team,
For your adjusters. One queue, every document attached, the next step always obvious. Less time in the system means more time on the claims that need judgment.
For your operations team. Routing, reminders, and SLA tracking run automatically. You see bottlenecks the week they form, not at quarter end.
The best part: once everything is set up, it largely runs itself.
Jordan Blake · Account Executive, Beacon Analytics
Trusted by teams like yours
We work with leaders who needed the same two things Fieldstone Insurance does: results they can show, and a rollout their team doesn't feel.
Key features
Connects to your stack
Click, sync, done. No lengthy custom projects.
Everyone's in with the accounts they already have.
Records update automatically in both directions.
Effortless for your team
Web, mobile, email. No new habit to build.
The core action takes less time than writing a Slack message.
Status and updates arrive without anyone asking.
Automation that scales
Eligibility, approvals, and payouts happen without a spreadsheet.
Every step is tracked, so there are no costly manual mistakes.
The numbers leadership asks for, ready when they ask.
The AI layer
Claim forms, photos, and repair estimates are read on arrival and attached to the right claim, with key fields filled in.
Spots duplicate submissions and unusual patterns across thousands of open claims, then routes them to a senior adjuster.
AI drafts and suggests; your adjusters approve every decision and every payment.
See it in action
A two-minute walkthrough of the core workflow.
Outcomes with Beacon Analytics
What changes for Fieldstone Insurance, and how you'll know it's working.
More of the result that matters
Adjusters close more claims each week with the same headcount, because the queue hands them the next action instead of a pile of documents.
Faster than the old way
First notice of loss to settlement runs 38% faster than a manual queue, so policyholders hear back in days rather than weeks.
It sticks
Routing rules and letter templates improve as your team uses them, so cycle times keep falling after go-live instead of drifting back.
Fully automated
Scaling this manually is tedious and error-prone. The platform runs it with an accuracy and speed a manual process can't match.
Beacon Analytics pricing
One annual price, everything included.
Annual subscription
Everything included, billed annually.
Pricing is guaranteed through October 15, 2026. Integrations and SSO are included at no additional cost. By purchasing a license you agree to our terms of use.
Beacon was the first vendor that asked how our adjusters actually spend their day. Ninety days after launch the whole claims floor was on it, and nobody has asked for the old queue back.

Caldwell: Operations assessment & roadmap
A proposal for Caldwell Manufacturing, prepared by Meridian Advisory.
The situation
Caldwell Manufacturing is growing faster than its operating model. The symptoms are familiar: decisions wait on people rather than process, the same information is rebuilt in several places, and leadership sees results weeks after they happen.
This engagement finds the two or three constraints that matter, proves the fixes on the ground, and leaves Caldwell Manufacturing with a roadmap it can fund and a team that can run it.
Objectives
What success looks like at the end of the engagement. Every deliverable below traces back to one of these.
Find the real constraint
Identify where throughput is actually lost across Caldwell Manufacturing's plants, with data, not anecdotes.
A roadmap leadership can fund
A prioritized 12-month improvement plan with cost, effort, and expected impact for each initiative.
Quick wins inside the engagement
At least two improvements implemented during the assessment itself, not just recommended.
How we work
A method we've run many times, adapted to how Caldwell Manufacturing actually operates.
Diagnose
Interviews, process walks, and data pulls. We map the work as it is, not as the org chart says.
Design
Options with trade-offs, not a single answer. You choose; we detail.
Pilot
The two highest-impact changes run live with one team, measured weekly.
Embed
Playbooks, owners, and a cadence so the gains survive our departure.
Phases
Each phase ends with a decision meeting. Nothing proceeds without your sign-off.
Diagnose
Interviews, data, current-state map. Decision: constraints confirmed.
Design & pilot
Options, selection, two live pilots. Decision: roadmap priorities.
Embed
Playbooks, owners, handover. Decision: roadmap funded.
Deliverables & acceptance
| Phase | Deliverable | Accepted when |
|---|---|---|
| Diagnose | Current-state assessment and constraint analysis | Leadership confirms the top constraints |
| Diagnose | Baseline metrics | Agreed measures and starting values signed off |
| Design & pilot | Options paper with trade-offs | One option selected per constraint |
| Design & pilot | Two pilots, measured | Four weeks of weekly data against baseline |
| Embed | 12-month roadmap with business cases | Presented to and accepted by leadership |
| Embed | Playbooks and named owners | Handover session complete |
Feedback not raised within five business days of delivery is deemed acceptance.
A comparable engagement
Three plants running near capacity on paper, still missing delivery dates every month, and no agreement on where the bottleneck actually was.
A ten-week diagnostic across all three plants, two pilots on the constraint line, and a 12-month roadmap the board funded in full.
“They found the real constraint in week three and had a pilot running by week five. The roadmap is still the document we run operations from.”
Engagement team
Senior people, on the ground, the whole way through.
Sarah Lindqvist
Engagement lead. In every interview, every decision meeting, and on the phone in between.
David Osei
Twelve years in plant operations and lean programs, most recently leading throughput work across discrete manufacturing sites.
Assumptions & dependencies
Caldwell Manufacturing will nominate an executive sponsor and a working-level counterpart with roughly four hours a week available. Access to systems, data, and people will be provided within five business days of request.
Out of scope: implementation beyond the two pilots, technology selection, and change-management programs after handover. Changes to scope are agreed in writing with revised effort and dates.

A brand Verde Botanicals can grow into
Studio North × Verde Botanicals: the thinking, the work, and what it takes to get there.
The brief, as we heard it
Verde Botanicals has outgrown its current identity. The product has moved on; the brand hasn't caught up, and it shows in the places that matter: on the shelf, on the site, in the first thirty seconds of a sales call.
You asked for three things: a brand that matches where the company is going, a system your own team can run without us, and a launch that lands before the next season. This proposal is built around exactly those three.
What's getting in the way
A brand that matches the product
Reposition Verde Botanicals from farmers-market favorite to national shelf contender.
A system, not just a logo
Identity, packaging, and guidelines the in-house team can apply without us.
Launch-ready by Q4
Everything delivered in time for the fall retail reset.
Our approach
Four moves, each with a decision point before the next one starts. You're never surprised by a direction.
Discovery & positioning
Stakeholder interviews, competitive audit, and a positioning platform you sign off before design starts.
Identity design
Two creative concepts, two revision rounds on the chosen route, and the final identity system.
Packaging & applications
Primary packaging for three product lines plus core brand applications.
Guidelines & handover
A practical brand book and working files, with a handover session for your team.
Work we're proud of
Juniper & Rye: a pantry brand rebuilt for national retail
Brands that grew into themselves
We do our best work with founder-led consumer brands at the moment they outgrow their first identity. Recent relaunches have taken small-batch makers from local shelves into regional and national retail, with packaging built to hold its own in the aisle.
A relaunch like this one
A well-loved small-batch pantry brand whose homemade look kept it out of national grocery buyers' meetings.
New positioning, identity, and packaging across 14 SKUs, launched with a rebuilt online store in time for the spring reset.
“We finally have a brand our buyers take seriously and a system our own team can use without calling the studio. The packaging did half the selling in our first national buyer meeting.”
Scope & deliverables
Everything listed is included. Additional rounds or deliverables are quoted as add-ons below.
| Deliverable | What's included | Rounds |
|---|---|---|
| Positioning platform | Interviews, audit, written positioning and brief | 1 |
| Identity system | 2 concepts, refined identity, logo suite, color, type | 2 |
| Packaging | Primary packaging for 3 product lines, print-ready | 2 |
| Brand applications | Social templates, sales one-pager, email header set | 1 |

Year two with Northstar Software
What Northwind Logistics achieved this year, and the plan to build on it.
Your year in numbers
Pulled from Northwind Logistics's account. These are your results, not our averages.
What we heard this year
In our quarterly reviews, three themes came up every time: the rollout to the Dallas warehouse went faster than expected, reporting has become the thing leadership actually opens, and the two regional teams not yet on the platform are asking when they'll get it.
Two things didn't go as planned, and we've fixed them: the carrier integration slipped a month (it's live, and we've added a second engineer to integrations), and the mobile app's offline mode frustrated drivers until the June release. Thank you for being direct with us about both.
What's next
Three ways to get more from what's already working.
Bring on the waiting teams
Extend to the Reno and Memphis regional teams, which asked for access in the last two reviews.
Turn on the advanced tier
SSO, advanced reporting, and workflow automation, the three features admins requested most.
A named success partner
Quarterly roadmap sessions and a dedicated contact, so year two compounds instead of plateaus.

Axlebridge Software's response to Lakeshore Regional Transit
Fleet Maintenance Management System. Submitted in accordance with the requirements and deadline set out in the RFP.
Cover letter
Dear Mr. Bell,
Thank you for the opportunity to respond to RFP LRT-26-014, Fleet Maintenance Management System. We have read the invitation in full and confirm that this submission addresses every requirement in the order you set them out.
We understand that Lakeshore Regional Transit is replacing a paper-and-spreadsheet maintenance process for 212 buses and 64 support vehicles with one system that schedules preventive maintenance, tracks parts, and produces the state reporting your team currently assembles by hand. We run exactly this for transit agencies of comparable size, and the reference in this response is one of them.
We flag one clarification: requirement 2.2 asks for on-premises hosting. We propose a hosted deployment in a US government cloud region and explain why in the compliance matrix. Please tell us by the clarification deadline if this excludes the response.
We confirm that this response is valid for 90 days from the submission date and that Hannah Osei is authorized to bind Axlebridge Software to its contents.
Yours sincerely,
Hannah Osei
Director, Public Sector, Axlebridge Software
Our understanding of the requirement
Lakeshore Regional Transit is seeking a single fleet maintenance management system covering preventive maintenance scheduling, work orders, parts inventory, and state reporting for its bus and support fleet.
Behind the specification is a simpler goal: fewer road calls and buses back in service sooner, with the monthly reporting produced by the system instead of by the maintenance office.
Compliance matrix
An excerpt: the full matrix covers all 25 requirements in the RFP's numbering.
| Ref | Requirement | Response | Where it's evidenced |
|---|---|---|---|
| 1.1 | Schedule preventive maintenance by mileage, engine hours, and date | Fully met | Section 3.1, Appendix A |
| 1.2 | Mobile work orders for technicians, usable offline in the garage | Fully met | Section 3.2, demo recording |
| 1.3 | Parts inventory across two depots with reorder points | Partially met: reorder points are per depot; cross-depot transfers are manual in phase one | Section 3.4 |
| 2.1 | Single sign-on with the Authority's identity provider | Fully met | Section 4.1, security overview |
| 2.2 | On-premises hosting | Not met: hosted in a US government cloud region instead; reasons and controls in 4.2 | Section 4.2, Appendix C |
Responses are one of: fully met, partially met, or not met. Where a requirement is partially or not met, the reason and any alternative are stated rather than omitted.
Responses to your questions
In the order asked, with the question reproduced as written.
4.1 How does the proposed system produce the monthly state maintenance report?
It generates it directly. Mileage, inspections, and defects recorded on work orders feed a report configured to the state's current format during implementation, and your maintenance office reviews it before go-live.
4.2 How will historical maintenance records be migrated?
We import five years of records from your spreadsheets during configuration, validate a sample with your team, and keep the originals read-only for audit.
4.3 What training is provided, and for whom?
Role-based sessions for technicians, supervisors, and administrators during test and acceptance, recorded for new starters, plus on-site support at each depot for two weeks after go-live.
4.4 Describe your support arrangements after go-live.
Phone and email support during your operating hours, a named account manager, and a four-hour response for anything that stops work orders being raised. Response times are reported monthly.
Comparable reference
A 180-vehicle fleet maintained from spreadsheets and paper work orders, with state reports compiled by hand every month.
Preventive maintenance, mobile work orders, and parts across two depots, live in eleven weeks with a delivery team of four.

A partnership with Corrigan Foods

The approach, the terms, and the plan for every business unit.
Executive summary
Corrigan Foods is looking to replace spreadsheet forecasting with one demand plan across Bakery, Snacks, Frozen, and Foodservice, cutting waste and stockouts as volumes grow.
This proposal sets out how Tessellate will deliver it: a phased rollout led by Snacks, the business unit with the most to gain, service levels written into the contract, and a term structure that rewards commitment without locking you in.
What we heard
From conversations across Corrigan Foods.
Four forecasts, no plan
"Every unit forecasts in its own spreadsheet, and we reconcile them by hand each month." (VP Finance)
Waste on short-life lines
"We wrote off 6% of Bakery output last year to overproduction." (Bakery general manager)
Fill-rate fines
"Our two largest grocers fined us for missed fill rates twice this year." (VP Sales)
Our approach
One demand plan
A single forecast across all four units, reconciled automatically and reviewed in one monthly meeting.
Daily plans for short-life lines
Bakery production follows this week's demand instead of last year's.
Early warning on key accounts
At-risk orders for your largest customers flagged two weeks out, while there's time to act.
Governance
A steering group with named owners on both sides, meeting monthly.
Term options
The same scope on either term. The longer term buys price certainty, not lock-in.
| One year | Three years Recommended | |
|---|---|---|
| Annual price protection | ||
| Named customer success lead | ||
| Executive business reviews | Twice a year | Quarterly |
| Exit after year one | At renewal | With 90 days' notice |
Service levels
Written into the contract, measured monthly, reported quarterly.
Rollout by business unit
Led by the unit with the most to gain, so the rest of the company sees a result before it changes anything.
Snacks
Configured, trained, live. Baseline and first results measured.
Bakery
On the same setup, adapted for daily planning on short-life lines.
Frozen & Foodservice
Rolled out in waves agreed with the steering group.
Review
Results against the objectives, reported to the executive sponsor.
Security, legal and procurement
The questions each team will ask, answered before they have to.
Security review
SOC 2 Type II and ISO 27001 certified; the audit report is available under NDA from your account team.
Data processing agreement
Our standard DPA is attached, and we're glad to work from yours instead.
Vendor onboarding
Insurance certificates, W-9, and your supplier forms, returned within five business days.
Contract paper
We can sign on your paper; typical redline turnaround is three business days.
Your team
The people accountable to Corrigan Foods, from signature onward.
Rafael Costa
Accountable for the partnership and your commercial contact.
Linda Okoro
Chief Customer Officer; sponsors our largest food and beverage accounts.
Peter Vance
Led rollouts at two multi-unit food manufacturers.
Investment
For the scope above, on the term you choose.
Enterprise subscription
Every business unit in scope.
Pricing held for 60 days. Excludes applicable taxes. Multi-year pricing protection applies to the three-year term.
From here to signature
Choose the term
One year or three, by January 29, 2027 to hold pricing.
Security & legal in parallel
Questionnaire and redlines together, not one after the other.
Kickoff with the first business unit
Within two weeks of signature.
Questions? Reach Rafael Costa at rafael@tessellate.example.
Terms
This proposal is valid for 60 days. Subscription fees are billed annually in advance. The one-year term renews annually unless either party gives 60 days' written notice; the three-year term carries the exit right set out above. Service levels, service credits and data processing are governed by the master agreement and its schedules. Full terms of service apply.

A six-week pilot with Granite Peak Construction
One team, one workflow, and a decision at the end based on numbers rather than opinions.
Why a pilot
Granite Peak Construction has a question that a demo cannot answer: whether this works on your data, with your team, at your volume.
A pilot answers it in six weeks for a fraction of the annual cost, with criteria we agree before we start and a decision on a date that is already in the calendar.
What we're testing
The three things that have to be true for this to be worth rolling out.
It works on your data
Your real records, your edge cases, not a sandbox.
Your team will use it
Adoption measured on the pilot team, not predicted.
It moves the number
The metric you already report on, measured before and after.
Success criteria
Agreed before we start. At the end, each one is met or it is not.
| Criterion | How it's measured | Target |
|---|---|---|
| Daily reports on time | Reports submitted by 6pm, from your project tracker | 90% or more |
| Adoption | Weekly active users on the pilot team | 12 of 14 |
| Effort | Hours a week on the workflow, before and after | Under 3 per superintendent |
| Integration | Photos and reports syncing to your project management system | Live by week 2 |
Both sides sign off on this table before kickoff. Nothing is added to it after week one.
Scope
In scope
The Riverside Medical Center project: 14 superintendents and foremen.
Daily field reports, from site photos to the owner's update.
Your project management system, for photos and reports.
Kickoff, two sessions, and a shared channel throughout.
Not in scope
They join at rollout, not during the pilot.
Configuration only. Anything bespoke is quoted separately.
The pilot runs on new records from day one.
Completed before kickoff, not during.
The six weeks
Kickoff
Criteria signed off, accounts created, integration connected, baseline measured.
Live
The team works in it every day. Daily check-ins for the first week.
Tune
Adjust what the first fortnight exposed. Mid-pilot review against the criteria.
Readout
Results against each criterion, presented to whoever decides.
What happens at the end
Both answers, written down now, so week six is a decision rather than a negotiation.
If the criteria are met
The pilot fee is credited in full against the first year of a subscription, and the pilot team stays live through rollout with no re-implementation.
If they are not
The pilot ends. You keep the written readout and an export of everything created during it. There is no auto-renewal and nothing further to cancel.
If it's close
We extend once, by up to four weeks, at no additional cost, against the same criteria.
Who owns the data
You do, throughout and afterwards. Export is available at any point, in a documented format.
Investment
One fee for the six weeks, credited in full if you go ahead.
Six-week pilot
Everything above, for the pilot team.
Invoiced at kickoff. Credited in full against year one if the pilot converts within 30 days of the readout.
To start
Agree the criteria
A 45-minute session to fill in the table above together.
Name the team
Five to fifteen people, and whoever decides at the end.
Kickoff
Within five business days of both of those.
Questions? Reach Tara Singh at tara@siteloop.example.
Terms
This pilot proposal is valid for 30 days. The pilot fee is invoiced at kickoff and is non-refundable; it is credited in full against the first year of a subscription entered into within 30 days of the readout. The pilot ends on the readout date unless both parties agree an extension in writing. Either party may end the pilot early with 10 days' written notice. Customer data remains the customer's property and is exported or deleted on request. Full terms of service apply.

Ongoing support for Oakline Dental Partners
A monthly retainer: a named team, agreed response times, and work that compounds instead of restarting.
What this is
Project work leaves when the project does. A retainer keeps the people who learned how Oakline Dental Partners works, so the second month starts where the first finished rather than at the beginning.
Every month you get the services below, from a named team, inside agreed response times. No scoping cycle, no re-onboarding, and no minimum term beyond the first three months.
What's included every month
The standing scope. Anything outside it is quoted before it starts, never invoiced after.
| Service | What it covers | Cadence |
|---|---|---|
| Local SEO | Listings, reviews, and location pages for all 18 practices | Ongoing |
| Content | Four articles a month on the treatments patients search for | Weekly |
| Reporting | Rankings, traffic, booked appointments, and hours drawn down | Monthly |
| Review | A working session on priorities for the coming month | Monthly |
| Support | Named contact, shared channel, agreed response times | Ongoing |
Unused hours roll over one month. Hours beyond the retainer are agreed in writing first and billed at the rate below.
Service levels
What you can hold us to.
How we work together
One channel
A shared channel with your team and ours. No ticket portal, no forwarding.
A monthly rhythm
Priorities agreed at the start of the month, results reviewed at the end of it.
Visible drawdown
You can see hours used against hours included at any point, not just on the invoice.
Nothing unagreed
Work beyond the retainer is quoted and approved before it starts.
Your team
The same people every month. That is most of what you are paying for.
Luis Moreno
Accountable for the retainer and your named contact.
Aisha Grant
Plans and edits the monthly articles and keeps every location page current.
Investment
One monthly fee, billed in advance.
Monthly retainer
The scope above, every month.
Billed monthly in advance. Additional hours at $150/hour, agreed in writing before the work starts. Reviewed together at six months, adjusted only by agreement.
How to leave
Stated here rather than in the small print, because a retainer nobody can leave is a retainer nobody signs.
Minimum term
Three months. After that it runs month to month.
Notice
30 days in writing, any time after month three. No exit fee and no final-month charge.
What you keep
Everything produced during the retainer, plus an export of your data and a written handover in the final month.
Pausing instead
The retainer can be paused once for up to two months, holding your rate and your team.
To start
Confirm the scope
Reply with any change to the services table above.
First month's priorities
A 45-minute session in the week before we start.
Go
First working day of December.
Questions? Reach Luis Moreno at luis@brightside.example.
Terms
This proposal is valid for 30 days. The retainer is billed monthly in advance with a minimum term of three months, after which it continues month to month until ended by either party on 30 days' written notice. Included hours roll over for one month and are not otherwise refundable. Work beyond the retainer is agreed in writing in advance and billed at the stated rate. Full terms of service apply.

Fixing scheduling across our 22 clinics before spring
The ask
We spend about $240k a year in front-desk time scheduling, rescheduling, and chasing intake forms across our 22 clinics. Online scheduling and digital intake cost $96,000 in year one and cut that to about $72k, paying for themselves in about seven months. We want it live before the spring referral peak.
The cost of doing nothing
Front-desk scheduling and intake time from our September time study (1,150 hours a month at a $17.40 loaded rate). The after figure assumes 70% of patients book and complete intake online.
What we'd need
Budget
$96k from the 2027 operations budget, partly offset by $18k a year of reminder and fax services we'd cancel.
People
A project lead at 20% for ten weeks, and two hours of training for each front-desk team member.
A decision by
November 14, so every clinic is live before the March referral peak. Miss it and rollout waits until summer.
Questions this will get
Why now rather than next year?
Waiting costs about $14k a month in front-desk time, and March is when no-shows hurt most.
Why this rather than building it ourselves?
IT estimates six months and two developers for scheduling alone, with no intake forms or reminders, and we'd maintain it forever.
What happens if it doesn't work?
Annual term with a 90-day exit if adoption targets aren't met. We keep our data and the intake forms we build.
The decision
Approve the budget
$96k from the 2027 operations line, by November 14.
Name an owner

The path to a decision
What we're working towards
Guest messaging live at the first four Pinecrest properties before the holiday season, and at all 14 by February, so front desks stop juggling calls, texts, and booking-site inboxes.
The plan
Agreed together, and re-sent after every call. Anything without an owner and a date is not a step.
| # | Step | Owner | By |
|---|---|---|---|
| 1 | Technical review with Pinecrest IT (property system integration) | Pinecrest Hotel Group | October 28 |
| 2 | Security questionnaire returned | Tidewater Systems | October 30 |
| 3 | Commercial proposal issued | Tidewater Systems | November 4 |
| 4 | Business case to the CFO | Pinecrest Hotel Group | November 11 |
| 5 | Legal and procurement review | Both | November 18 |
| 6 | Decision | Pinecrest Hotel Group | November 20, 2026 |
| 7 | Kickoff, first four properties | Both | November 24 |
What each side needs
From Pinecrest Hotel Group
IT provides test-property credentials by October 24.
The four pilot-property GMs join the November 24 kickoff.
Business case reviewed at the November 11 finance meeting.
From Tidewater Systems

Two options, priced per property, by November 4.
What could slow this down
Named now so neither side is surprised.
Holiday change freeze
Pinecrest IT freezes changes from December 15. Ethan keeps the first four properties ahead of it.
Legal queue
Legal review averages two weeks. Sofia sends the MSA to legal now, in parallel with the business case.
Next

How Alder & Pine halved maintenance response times
| Industry: Property management | Size: 4,200 units | Region: Pacific Northwest | Customer since: 2024 |
The results
The situation
Alder & Pine manages 4,200 rental units across 31 buildings. Requests arrived by phone, email, and sticky note, coordinators re-typed them into a spreadsheet, and residents waited four days on average for a first visit.
What changed
Residents now report issues from their phone with photos, and jobs route to the right technician automatically. Rollout took five weeks, building by building, and coordinators spend their time on scheduling and vendors instead of data entry.
Residents noticed before we told them. Renewal surveys went from complaints about maintenance to compliments about it.
What made the difference
Photos with every request
Technicians arrive with the right part the first time.
One queue for everyone
Coordinators, technicians, and vendors work from the same list.
Response times on a dashboard
Building managers see slow jobs the same day, not at month end.

What we heard
“We reorder on gut feel.”
Two buyers place weekly orders for 42 stores from last year's sales and memory.
“Half our markdowns are the wrong sizes.”
End-of-season markdowns were 18% of apparel revenue last year.
“Stores can't see each other's stock.”
Transfers happen by phone, so one store sells out while another sits on stock.

What we do, and who we do it for
An introduction to Northstar Software, prepared for Northwind Logistics.
Who we are
Northstar Software helps operations-heavy teams replace manual work with workflows that run themselves. We're the team behind the platform, in the room from kickoff through renewal.
What we do
Automate the routine
Approvals, reporting, and handoffs that run without a spreadsheet.
Connect the stack
Your CRM, ERP, and the tools your teams already use, in sync.
Make results visible
Live dashboards built around the questions leadership asks.
Stay until it sticks
Onboarding, training, and a named partner through year one.
Who it's for

Logistics & distribution
Multi-site operations where the same report gets built three times.

Field services
Dispatch, compliance, and invoicing that currently live in five tools.

Manufacturing
Plants that want one view of throughput without a BI project.
Selected work
Four regional sites, four versions of the Monday report, and a leadership team deciding on three-week-old numbers.
Connected their TMS and ERP, automated the weekly report, and rolled out live dashboards site by site over eight weeks.
The first tool the whole operations team actually wanted to use. We stopped building the Monday report by hand within a month.
How engagements run
Discovery
We learn how your teams actually work.
Pilot
One team, one workflow, measured.
Rollout
Team by team, trained as we go.
Partnership

Harlow Medical Group × Cadence Health Software
What we're building together, who's doing what, and what happens in the first thirty days.
Why we're here
Half this room wasn't in the sales cycle, so: Harlow Medical Group bought digital intake for all nine clinics, to end paper forms and the re-keying behind them, with check-in time cut in half before flu season. Everything in this deck follows from that sentence.
What success looks like
The three things we agreed to be measured on.
Check-in time halved
From 11 minutes to under 6, measured at the front desk. Baseline taken in week 1.
Forms done before arrival
70% of patients finish intake on their phone before the visit. Today: none.
No re-keying
Intake data lands in the patient record directly. Today staff re-type every form.
Who's who
Names and what each person is accountable for, on both sides.
Marco Ruiz
Accountable for the engagement and your escalation path.
Jess Wu
Runs the build and the weekly call.
Elise Novak
Owns the decision list and internal comms.
Tom Becker
Holds the keys: access, integrations, and user setup.
The plan
Setup
Access, integrations, and the first configuration decisions.
Build
Configured against the success measures. Weekly demo every Thursday.
Pilot clinic live
The Eastside clinic uses it with real patients. Baseline measured again.
Rollout
Clinic by clinic, trained as we go.
First review
Results against the three measures above.
What we need from you
The short list. Everything here blocks something on the plan.
Access

Comms
Elise tells all nine clinics in the October staff newsletter.
How we'll work
Weekly call
Thursdays at 10am, 30 minutes, same agenda every week.
Shared channel

One decision list
Open questions with an owner and a date, visible to both sides.

The case, in twenty minutes
Prepared for the leadership team at Kestrel Community Bank by Clearpath Risk.
The short version
Manual compliance review on commercial loans costs Kestrel about $240k a year and grows with every loan you write. Automating the checks pays back in about eight months, with the first portfolio running on it this quarter.
What waiting costs
Reviewer hours on commercial-loan compliance checks at Kestrel's current volume, projected on the 20% annual loan growth in the 2027 plan.
What would change
For the business
Loans close days sooner, without adding reviewers as volume grows.
For the team
Reviewers stop re-checking the same forty fields by hand on every file.
For risk
Every check logged and exceptions flagged, ready for the examiners.
Who has done this
Commercial loan volume up 30% in two years, with compliance review still done by hand.
Automated pre-close compliance checks across the commercial portfolio, with reviewers handling exceptions only.
What we're asking for
Approve a pilot on the commercial portfolio
A decision at the December 15 risk committee.
Name a sponsor
Someone on your team who owns the rollout from here.

Why not a thousand templates?
Honest answer: because the template isn't doing the work here. Tools with a thousand templates need one per industry because the template is the personalization. In Veew, the AI personalizes from your deal, so one well-built structure per kind of document covers what a thousand fill-in-the-blanks templates try to. More are coming as teams ask for them.
