Mutual Action Plan Template
A close plan the buyer has never seen is a guess. A mutual action plan is the same plan, agreed with them: every step between today and a decision, with an owner on one side or both and a real date. This template keeps it to one page because it gets re-sent after every call, and nobody re-reads four pages every week. The table does the work; everything else on the page exists to get it read.
The path to a decision
What we're working towards
Guest messaging live at the first four Pinecrest properties before the holiday season, and at all 14 by February, so front desks stop juggling calls, texts, and booking-site inboxes.
The plan
Agreed together, and re-sent after every call. Anything without an owner and a date is not a step.
| # | Step | Owner | By |
|---|---|---|---|
| 1 | Technical review with Pinecrest IT (property system integration) | Pinecrest Hotel Group | October 28 |
| 2 | Security questionnaire returned | Tidewater Systems | October 30 |
| 3 | Commercial proposal issued | Tidewater Systems | November 4 |
| 4 | Business case to the CFO | Pinecrest Hotel Group | November 11 |
| 5 | Legal and procurement review | Both | November 18 |
| 6 | Decision | Pinecrest Hotel Group | November 20, 2026 |
| 7 | Kickoff, first four properties | Both | November 24 |
What each side needs
From Pinecrest Hotel Group
IT provides test-property credentials by October 24.
The four pilot-property GMs join the November 24 kickoff.
Business case reviewed at the November 11 finance meeting.
From Tidewater Systems
Questionnaire, audit report, and DPA by October 30.
A sandbox connected to the property system, ready for the review.
Two options, priced per property, by November 4.
What could slow this down
Named now so neither side is surprised.
Holiday change freeze
Pinecrest IT freezes changes from December 15. Ethan keeps the first four properties ahead of it.
Legal queue
Legal review averages two weeks. Sofia sends the MSA to legal now, in parallel with the business case.
Next
Sandbox credentials to Tidewater
Pinecrest IT, by October 24.
Re-send this plan
After our next call, with the dates updated.

Who this template is for
- Complex B2B deals with security, legal, and procurement steps
- Champions who need to show their own team the path to signature
- Forecast calls where 'commit' needs more behind it than a feeling
Veew builds the plan from the deal: steps from your call notes, the decision date from the CRM close date, risks from what has already slipped or what the buyer has hinted at. The AI never puts your company down as the owner of their internal approval. Update it after each call and send the same link; you get an alert when it's opened.
What's inside
The sections, and the job each one does
What we're working towards
One sentence in the buyer's words about what they want live and when, with the decision date, target go-live, and steps remaining.
The plan
The table: step, owner, date. Anything without an owner and a date isn't a step, and steps that don't apply get deleted, not left blank.
What each side needs
Two columns of roughly equal length. A plan where only one side has obligations is a wish list.
What could slow this down
The two risks most likely to move the date, each with a mitigation and an owner, named now so nobody is surprised.
Next
The very next step and its owner, and a standing line: re-send this plan after the next call with the dates updated.
FAQ
What is a mutual action plan?
A shared document listing every step from where a deal is today to a signed contract and kickoff, with an owner and a date for each. Buyer and seller agree it together and update it as the deal moves. It's also called a mutual close plan or joint execution plan.
When should you introduce a mutual action plan?
Once the buyer agrees there's a problem worth solving and a date they're working toward, usually after discovery or the first demo. Earlier, it feels presumptuous; later, you've lost the chance to shape the process.
What steps belong in a mutual action plan?
Whatever this buyer's process actually needs: technical review, security questionnaire, proposal, business case or budget approval, legal and procurement, the decision, and kickoff. Delete steps that don't apply rather than leaving placeholders.
