Business Case Template
Most deals are approved in a meeting the seller never attends. The business case is what your champion brings into it, so it's written in their voice ('we', not 'you'), with the money on the page, the cost of doing nothing in one chart, and the hard questions answered before finance asks them. One page, because a business case that has to be studied gets deferred. Live sample below.
Fixing scheduling across our 22 clinics before spring
The ask
We spend about $240k a year in front-desk time scheduling, rescheduling, and chasing intake forms across our 22 clinics. Online scheduling and digital intake cost $96,000 in year one and cut that to about $72k, paying for themselves in about seven months. We want it live before the spring referral peak.
The cost of doing nothing
Front-desk scheduling and intake time from our September time study (1,150 hours a month at a $17.40 loaded rate). The after figure assumes 70% of patients book and complete intake online.
What we'd need
Budget
$96k from the 2027 operations budget, partly offset by $18k a year of reminder and fax services we'd cancel.
People
A project lead at 20% for ten weeks, and two hours of training for each front-desk team member.
A decision by
November 14, so every clinic is live before the March referral peak. Miss it and rollout waits until summer.
Questions this will get
Why now rather than next year?
Waiting costs about $14k a month in front-desk time, and March is when no-shows hurt most.
Why this rather than building it ourselves?
IT estimates six months and two developers for scheduling alone, with no intake forms or reminders, and we'd maintain it forever.
What happens if it doesn't work?
Annual term with a 90-day exit if adoption targets aren't met. We keep our data and the intake forms we build.
The decision
Approve the budget
$96k from the 2027 operations line, by November 14.
Name an owner
Priya Shah, clinic operations lead, runs the rollout.

Who this template is for
- Champions who need to win budget approval internally
- Deals stuck at 'I need to take this to finance'
- Replacing the ROI spreadsheet nobody outside sales opens
Veew writes this page in the customer's voice from your deal and call notes: the ask from what they're trying to fix, the objections from what their team actually raised. Numbers come only from figures the account gave you; where there's no baseline, the AI leaves the gap marked rather than inventing one, because an unsourced number is how a business case loses a finance reviewer.
What's inside
The sections, and the job each one does
The ask
A solid header band with the ask as the title, then one paragraph and three numbers: year-one cost, year-one return, payback.
The cost of doing nothing
One chart: a year of the current way beside a year after rollout, with the source of every figure underneath. The section a CFO checks first.
What we'd need
Budget, people, and a decision date, each concrete enough to approve or refuse, and what slips if the date moves.
Questions this will get
Why now, why not build it ourselves, and what if it doesn't work, each answered in a sentence or two.
The decision
At most two steps somebody in the room can take the same day. No vendor call to action: the page is theirs.
FAQ
What should a business case include?
The decision being asked for, the cost of the status quo, the expected return and payback, what it will take (budget, people, time), the risks and objections, and a deadline. Keep it to what an approver needs; the detail lives in the proposal.
How long should a business case be?
For a purchase decision, one page plus whatever backup finance asks for. Large capital projects need longer formal cases, but most software and services approvals are won or lost on the first page.
Who should write the business case, the seller or the buyer?
The buyer presents it, so it should read like the buyer wrote it. The seller can do the drafting (that's what this template is for), but the voice, the numbers, and the ask belong to the champion.
