Meeting Recap Template

Most follow-up emails are a paragraph nobody forwards. A recap page holds the same content in a shape the buyer can send upward: what we heard in their words, what was actually agreed, every action with one owner and a date, what's still open, and when you meet next. Sent within an hour of the call, it's a thank-you as much as a record.

What we heard, and what happens next

01

What we heard

“We reorder on gut feel.”

Two buyers place weekly orders for 42 stores from last year's sales and memory.

“Half our markdowns are the wrong sizes.”

End-of-season markdowns were 18% of apparel revenue last year.

“Stores can't see each other's stock.”

Transfers happen by phone, so one store sells out while another sits on stock.

02

What we agreed

    Start with apparel

Footwear and gear follow once the apparel forecast is proven.

    Two years of sales data

Bluewater shares two years of point-of-sale history for a trial forecast.

    Merchandising leads

Kate owns the evaluation; IT joins for the integration review.

Does it plan size curves by store?

Chris is confirming with the product team and will answer by October 23.

IT is wary of another integration to maintain.

We'll bring integration notes and a reference customer's IT lead to the next meeting.

Kate, both buyers, and Bluewater IT. We compare the spring apparel forecast with what the buyers would have ordered.

Who this template is for

  • Account executives following up discovery calls and demos
  • Calls with several stakeholders, where the recap gets forwarded
  • Keeping action items from quietly expiring between meetings
Where the AI comes in

This is the template Veew's meeting-notes connections were made for. Connect Granola, Fathom, Fireflies, tl;dv, Avoma, or Read AI, and the recap drafts from the call's notes: the buyer's own words, the actions with owners, the open questions. You review it, send the link, and get an alert when it's opened.

What's inside

The sections, and the job each one does

01

What we heard

Three things the buyer said, quoted as closely as the notes allow, each with the fact behind it. If it wasn't said, it isn't here.

02

What we agreed

Only what both sides agreed. Something one side proposed and the other didn't answer is an open question, not an agreement.

03

Who's doing what

Every action from the call with one owner and a real date, the buyer's first, because those are the ones that slip.

04

Still open

The questions you couldn't answer and the concerns that came up late, each with an owner and a date rather than a reassurance.

05

Next time

The next meeting only: when, who should be there, and what it decides.

FAQ

What should a meeting recap include?

The key points the other side raised, decisions made, action items with an owner and a due date, open questions, and the next meeting. Leave out the blow-by-blow; a recap is about what happens next.

How soon should you send a meeting recap?

The same day, ideally within an hour, while the call is fresh for everyone. A recap that arrives two days later reads as an afterthought and misses the window when people act on it.

Should a sales meeting recap be an email or a document?

An email for a quick check-in. A document when the call had several stakeholders or real decisions, because it can be forwarded intact to people who weren't there, and a tracked link tells you when it's been read.
