Salesforce: connect, import and write back

Connect your Salesforce org, map fields, import opportunities, see what Veew writes back, and what disconnecting or revoking access does to your data.

What the app does

The Salesforce connection lets you start a proposal, sales deck or one-pager from a Salesforce opportunity. The account, amount, close date and the fields you choose come in without retyping, and Veew reports back to the opportunity when the buyer acts on the document.

  • Import an opportunity into Veew. Search your opportunities from Veew by opportunity or account name and bring one in with its account.
  • Stay current. Veew re-reads opportunities you are still working on every few hours, and you can refresh one at any time.
  • Write back. A completed task on the opportunity when a document is sent, accepted, commented on, or its form is answered, and four Veew fields on the opportunity that track the latest document and its views. Write-back is part of the Starter and Team plans.

What Veew never changes

Veew never changes your Amount, Stage, Close Date, owner, account, contacts, contact roles, or any field you didn't map. The only things it writes are completed tasks on the opportunity and its own four custom fields, whose API names start with deckd_.

Before you start

  • A Salesforce org with API access: Enterprise, Unlimited, Performance or Developer Edition, or Professional Edition with API access added. Veew signs in as you, so your Salesforce user needs the API Enabled permission and read access to opportunities, accounts and contacts.
  • A System Administrator is best. Veew can then add its four fields to Opportunity for you. Anyone with API access can connect; if Veew can't add the fields, a Salesforce admin adds them by hand later (see If Veew can't add its fields).
  • A Veew workspace where you are an owner or admin. Importing opportunities works on every plan; write-back to Salesforce needs Starter or Team.
  • One Salesforce org connects to one Veew workspace, and the connection is shared by everyone in that workspace.

Connect

  1. 1
In Veew, go to Settings → Integrations and click Connect Salesforce.
  2. 2
Sign in to Salesforce. If your company signs in through its own Salesforce domain, choose Use Custom Domain on the login page.
  3. 3
Review the access Veew asks for (explained under Data Veew reads and writes) and click Allow.
  4. 4
You return to Settings → Integrations, with Salesforce shown as connected and your org's address on the card.

What connecting sets up

  • A starting field map: the account's Name, Industry and Website, plus the opportunity's Name, Amount and Close Date. You can change it any time.
  • Four custom fields on Opportunity, created a moment after you connect: deckd_latest_document_url__c (URL), deckd_latest_document_status__c (Text), deckd_last_viewed_at__c (Date/Time) and deckd_total_views__c (Number). Their labels start with "Veew", and the connecting user's profile gets read and edit access to them.
  • Nothing that listens for changes. Salesforce doesn't let an app subscribe to record changes on its own, so Veew keeps opportunities current by re-reading them (see Keeping deals current).

Map your fields

The field map decides which Salesforce fields fill which Veew fields, and so which facts the AI and your templates can use.

  1. 1
In Veew, go to Settings → Fields. Once Salesforce is connected, the table has a Salesforce column.
  2. 2
For each field, pick the Opportunity, Account or Contact field that should fill it. Standard and custom fields are both listed, and only fields of a compatible type are offered: a number field takes number, currency and percent fields, a date field takes dates.
  3. 3
To bring in a field Veew doesn't have yet, click Add field, create the Veew field, then map it. Changes apply to the next import or refresh.

Contacts

The opportunity's contact roles come across with it: up to ten people, the primary contact role first, each with their name, title and email. They are added to the deal's Contacts list once, on the first import, so anyone you remove in Veew stays removed. The first becomes the primary contact when the deal has none, and fills {{contact.first_name}} and the other contact variables.

Map contact fields in the Salesforce column only to pull custom Contact fields into your documents; they are read from the first contact role.

People can always be added to the deal by hand on the deal page.

Import an opportunity

  1. 1
In Veew, open Deals and click Import from Salesforce, or click Import an opportunity on the Salesforce card in Settings → Integrations.
  2. 2
Search by opportunity or account name, or pick from the most recently changed opportunities.
  3. 3
Pick the opportunity. Veew creates its own deal with the mapped fields and the opportunity's account, and links it back to the record in Salesforce.
  • Importing the same opportunity again updates the Veew deal you already have rather than making a second one.
  • You can also type the company on Home, and Veew looks for a matching opportunity.

Keeping deals current

Every hour, Veew re-reads opportunities whose copy is more than six hours old, as long as the deal is still being worked on: it has a draft or live document, or changed in the last 30 days. Starting a document from a deal also re-reads it in the background when its copy is more than an hour old, and Refresh on the deal page pulls the latest at once. The deal page shows when it last synced from Salesforce, or why the last refresh failed.

A field you edited in Veew keeps your edit, and the deal page shows Salesforce's newer value with Use it so you can take it if you want. If the opportunity is deleted in Salesforce, the next refresh marks the Veew deal as deleted there and its documents, notes and fields are kept.

Write-back to Salesforce

On Starter and Team, Veew writes two things to opportunities it imported. On Free it imports and stays current, but writes nothing to Salesforce.

  • A completed task on the opportunity when a document is sent (with the link and who it went to), accepted (with who accepted and the option they chose), commented on by the buyer, or its form is answered. The subject is a one-line summary and the comments field carries the link; long comments and form answers are cut short. Tasks are dated the day they happen and show in the opportunity's activity history.
  • The four Veew fields on the opportunity, updated when a document is published or its status changes, and as buyers view it (at most once every ten minutes per link): the latest document's link, its status, when it was last viewed, and its total views. Use them in list views, reports and flows.

If Veew can't add its fields

If the person who connected can't customize objects, tasks are still logged, the Write-back line on the Salesforce card says Partly, and the card lists the four API names. A Salesforce admin can add them by hand:

  1. 1
In Salesforce, go to Setup → Object Manager → Opportunity → Fields & Relationships and click New.
  2. 2
Create four fields with these field names (Salesforce adds __c): deckd_latest_document_url as URL, deckd_latest_document_status as Text (length 255), deckd_last_viewed_at as Date/Time, and deckd_total_views as Number (18 digits, 0 decimal places). Labels can be anything.
  3. 3
Make each field visible and editable for the profile of the person who connected Veew.
  4. 4
Veew picks the fields up the next time it updates the opportunity.

Data Veew reads and writes

These are the permissions (scopes) Veew asks for when you connect, and what each is for. Veew reads an opportunity only when you import it, refresh it, or start a document from it, and it stores only the fields you map. It does not copy your whole org.

  • The privacy policy covers how data is handled and how to have it deleted.

Disconnect

Disconnecting stops Veew talking to Salesforce. You can connect again any time.

  1. 1
In Veew, go to Settings → Integrations (owners and admins only).
  2. 2
On the Salesforce card, click Disconnect and confirm.

What disconnecting does to your data

  • Veew deletes its stored tokens and asks Salesforce to revoke them, so it can no longer read or write anything in your org.
  • Opportunities you imported, and the documents made from them, stay in Veew. They stop refreshing from Salesforce.
  • Nothing is deleted in Salesforce. Tasks Veew logged and the values in the four Veew fields stay on your opportunities.
  • Your field map is kept, so reconnecting picks up where you left off.

Revoke access in Salesforce

You can also cut Veew off from the Salesforce side, for yourself or for the whole org.

  1. 1
For yourself: open your personal settings in Salesforce, enter Advanced User Details in the Quick Find box (or Personal Information if that finds nothing), and under OAuth Connected Apps click Revoke next to Veew.
  2. 2
For the whole org (admins): in Setup, enter Connected Apps OAuth Usage in the Quick Find box, find Veew, and click its user count. Click Revoke on a user's row, or Revoke All. Block also stops anyone authorizing Veew again until you unblock it.

What revoking does to your data

  • Salesforce ends Veew's access at once. Veew can no longer read or write anything, deals stop refreshing, and the Salesforce card in Veew's Settings → Integrations says Salesforce no longer accepts the connection, with Reconnect.
  • Tasks Veew logged, and the four Veew fields with their values, stay in Salesforce. To remove the fields, delete them under Setup → Object Manager → Opportunity → Fields & Relationships (their API names start with deckd_).
  • Imported deals and documents stay in Veew. To remove the connection there too, click Disconnect in Settings → Integrations. To have your Veew data deleted, delete the workspace or email support@veew.ai.

Troubleshooting

  • "Only workspace owners and admins can connect integrations." Ask an owner or admin of your Veew workspace to connect, or to change your role under Settings → Team.
  • The authorization link expired. The link Veew sends you to Salesforce with is valid for 15 minutes. Start again from Settings → Integrations → Connect Salesforce.
  • "That Salesforce org is already connected to another Veew workspace." One org connects to one workspace. Disconnect it from the other workspace first.
  • Salesforce won't let you approve Veew. Salesforce restricts connected apps an org hasn't installed, so some users are turned away. Connect as a System Administrator, or have an admin install Veew from Setup → Connected Apps OAuth Usage.
  • Salesforce no longer accepts the connection. The access was revoked, the user who connected was deactivated or changed their password, or the connection went unused for 30 days (Salesforce expires idle refresh tokens). Click Reconnect; imported deals are untouched.
  • "Write-back needs attention" and Salesforce refused a write. Give the person who connected edit access to opportunities and tasks, then click Reconnect. Importing keeps working meanwhile.
  • Write-back says Partly. Veew couldn't add its four fields. Tasks are still logged; see If Veew can't add its fields.
  • Nothing appears on the opportunity. Write-back needs the Starter or Team plan, and only opportunities imported into Veew get tasks and field values.
  • A field is empty after import. Check its mapping in Settings → Fields, and that the field has a value on that opportunity, its account or its contact in Salesforce. Contact fields need a contact role on the opportunity.

Support

Email support@veew.ai, use the contact form, or ask the assistant from Help inside Veew. A person replies, usually within one business day.
