The best proposal software for Pipedrive in 2026

8 min read
Read this first: we make Veew, one of the tools below. We've kept the comparison straight, including where the others are the better choice, because that's the comparison we'd want to read.

Pipedrive teams tend to be lean: a handful of reps, a pipeline they actually keep up to date, and no appetite for a proposal process that needs its own admin. Most proposal tools say they integrate with Pipedrive, but the phrase covers three very different things. Before the tools, the levels:

  • Level 1: create from the deal. Open a Pipedrive deal, click a button, and the organization, person, value, and maybe the deal's products are pre-filled. Merge fields. Most tools do this.
  • Level 2: write back to the deal. Sent, viewed, accepted, and signed show up on the deal, as notes, activities, fields, or a stage change you can filter and report on. Fewer tools do this well.
  • Level 3: write from the deal. The AI reads what you know about the deal, plus what was said on the calls, and drafts the proposal for that buyer. Merge fields fill in the names; this fills in the story. Newest, and rarest.

Level 1 saves ten minutes of typing. Level 2 keeps the pipeline honest without anyone updating it. Level 3 saves the hour of writing. Decide which one you're buying before you compare features.

What to check before choosing

  • Deal-level creation, not just person-level. Proposals belong to deals.
  • Products. Does it read the products attached to the Pipedrive deal, or keep its own catalog? Two catalogs drift.
  • What's written back. A note on the deal is the minimum. Custom fields you can filter on, or an automatic stage move, are the useful version.
  • E-signature. Built in, or a handoff to your e-sign tool? Both are fine; know which you're getting.
  • Which plan, on both sides. Some Pipedrive integrations are reserved for a vendor's higher tiers, and some Pipedrive features depend on your Pipedrive plan. Price the combination you'd actually run.

Pipedrive Smart Docs (native)

Pipedrive's own document feature. Smart Docs is included on the Premium and Ultimate plans, and Lite and Growth accounts can buy it as an add-on. You build templates in Google Drive, Microsoft OneDrive, or SharePoint, insert deal, contact, and product fields, and create a document from the deal. You share it as a trackable link with open alerts, and request e-signatures without leaving Pipedrive.

Real productveew.ai · Deals
A deal in Veew: the live deal space link, three published documents, two meetings synced from a notetaker, and the CRM contact.
A Pipedrive deal in Veew: the synced contact, meeting notes from a notetaker, and every document published for it, on one page.
  • Strongest at: quotes, contracts, and simple proposals that live next to the deal, with signatures included and nothing new to buy if you're already on Premium or Ultimate.
  • Not the choice if: the document has to sell. It's your Google Doc or Word file with fields filled in, so the narrative and design are whatever the template already says. A shared version is read-only, so every revision means a new link.

PandaDoc

The most complete document platform in the space. Its Pipedrive integration creates documents from deals, organizations, and people, carries the deal's products into pricing tables, shows document status in Pipedrive, and attaches the signed PDF to the deal. PandaDoc lists the integration on its Business and Enterprise plans. Its AI is a writing assistant inside the editor, not a drafter that works from the deal. Levels 1 and 2, done thoroughly.

  • Strongest at: the full close: e-signature, payments, approvals, and audit trails.
  • Not the choice if: the slow part is writing and designing the proposal itself. (Veew vs PandaDoc.)

Proposify

A mature proposal platform with one of the more thorough two-way Pipedrive integrations: you map which deal, organization, and contact fields come in, link proposals to existing deals, and let documents move the deal to a new stage as they're created and sent. Its AI assists with wording inside the editor.

  • Strongest at: proposal ops: templates, content library, approvals, and metrics on which sections win.
  • Not the choice if: you want the writing done per deal, or your team is small enough that process overhead costs more than it saves. (Veew vs Proposify.)

Qwilr

Interactive web proposals with the best embedded pricing and accept-and-pay flows in the category. Its Pipedrive Marketplace app adds a button to create a Qwilr page from the deal, fills CRM tokens in your template, and syncs views and acceptances back to the deal.

  • Strongest at: polished proposals the buyer can configure and accept in one place.
  • Not the choice if: you need per-deal AI writing, or a PDF that matches the page. (Veew vs Qwilr.)

Better Proposals

Simpler and cheaper than the platforms above, with a clean editor and e-signature. Its native Pipedrive connection lets you search Pipedrive for the company and pick the recipients when you create a document; deeper automation, such as creating a proposal when a deal changes stage, runs through Zapier.

  • Strongest at: straightforward proposals at a low price, fast to set up.
  • Not the choice if: you need write-back to the deal or any AI drafting. (Veew vs Better Proposals.)

Veew (that's us)

The level-3 approach. Connect Pipedrive on any Pipedrive plan, import a deal, and its organization, linked person, and any standard or custom deal, organization, or person fields you map come across. When the deal changes in Pipedrive, Veew refreshes its copy within minutes. Add call summaries from your notetaker, and the AI writes the proposal for that buyer, citing case studies only from your approved library. The output is a designed web proposal with a matching PDF, and every document on a deal also lands in its deal space, one link the buyer keeps.

Importing works on every Veew plan. On Starter and Team, Veew also writes back: a note on the deal when a document is sent, accepted, or commented on, and four Veew custom fields (latest document, status, last viewed, total views) for your filters and reports. It never changes the deal's value, stage, owner, or people.

  • Strongest at: prospect-specific narrative with nothing re-typed; brand consistency without a designer; engagement on the deal where the rep already looks.
  • Not the choice if: you need built-in e-signature or approval workflows today. Veew's Accept step hands off to your e-sign tool. Prices come from the catalog you keep in Veew rather than the deal's products. And we're newer than everyone above.

Which one, for which team

  • Quotes and contracts from templates, signatures included → Smart Docs, especially if you're already on Premium or Ultimate.
  • Document execution is the bottleneck (e-sign, payments, approvals) → PandaDoc, or Proposify if stage automation and section analytics matter more.
  • Interactive pricing and accept-in-page → Qwilr.
  • Small team, simple proposals, low price → Better Proposals.
  • Writing the proposal is the bottleneck, and it has to be specific to the buyer → Veew, the AI sales proposal software that starts from the deal.

Setup tips, whichever you choose

  • Attach products to deals. If pricing lives in a spreadsheet, no integration will fix it.
  • Decide which stage means “proposal sent.” Then let the tool's write-back, or a Pipedrive automation, keep the pipeline true.
  • Add a few discovery fields. Custom deal fields for the problem, the timeline, and the decision process give any tool something real to fill in.
  • One owner for templates. The integration doesn't help if every rep has their own version.
